Placing someone
From a person's page, Place them asks for the ministry or team and a start date. Their status becomes placed, the ministry's suggested list loses them, and if Planning Center is connected and the ministry is linked to a team, EmmauOS can add them to that team's roster.
Already serving
If Planning Center is connected, when a result arrives (or is imported, or a person is linked to Planning Center by hand) EmmauOS looks at whether that person is already on a team linked to one of your ministries. If they are, it records the placement for them, marked already serving rather than with a pastor's name, so nobody is asked to place someone who is placed. It only reads Planning Center, and only for someone who shared with the pastoral team and isn't under 18.
Did it take?
About a month after each placement a check-in comes due: on this page, on the Overview, and in the digest. The answer is yes, no, or not yet, with a note. If Planning Center is connected, EmmauOS looks first at whether the person has actually been scheduled on that team and says so, so the check-in starts from fact rather than memory.
When a placement is serving (a yes, or Planning Center shows them scheduled), the person's stage on the People page moves up to Serve if it was earlier. It only ever moves forward: a placement that goes quiet is marked lapsed, and the stage stays where it is until you change it. A stage that is already further along, or one your church named itself, is left alone.
When a placement goes quiet (someone who was serving hasn't been scheduled lately, or a month has passed with no sign of serving), the next digest names them to whoever follows up with that person, or to whoever placed them: "Maria, placed on Kids 6 weeks ago, was serving and has gone quiet." That is said once per change, not every week, and not to the person who answered no themselves. The person's timeline gets a line too. Someone who didn't share with the pastoral team, or who may be under 18, is only counted. Nobody on the list is told anything.
When someone has served steadily (still serving at the 3-month check) and their newest result is a year old or more, their result page says so to your team: "Served on Kids for 6 months; a retake would show what has grown." The digest gives the count only. It is a suggestion for you; the person isn't told, and someone who already asked EmmauOS to remind them to retake is left out.
A no isn't a failure; it is how the 90-day experiment the result promised ends honestly. The person's page keeps the placement in the timeline, and their suggestions are open again.
The list
Every placement, filterable by ministry, by whether it took, and by who placed them. The counts at the top are how your church's assessment is doing at the one thing that matters: people who tried a team and stayed.
Who sees what
Leaders place and check in on people within the ministries they lead. Pastors and up see every placement.
